Updating work order information as needed related to purchasing and renewals.
Maintains customer relationships and resolves customer-related issues.
Coordinates initial vendor communications.
Facilitates timely renewal of ongoing contracts.
Budget and Financial
Maintains files necessary to ensure accurate and timely financial records.
Assists with tracking financial data and performs analyses of data as directed.
Prepares periodic financial reports for management review.
Performs internal financial audits as directed.
Interacts with vendors, partners, and College personnel to resolve financial issues; directs financial issues to the appropriate manager for resolution.
Provide administrative and budget support to the department.
Provides IT leaders with information for budget activities.
Provides general administrative assistance, including receiving and forwarding messages and receipt and distribution of mail and materials.
Maintains records through filing, retrieval, retention, storage, compilation, coding, updating, and destruction.
Maintains calendars, schedules, appointments, and meeting rooms.
Arranges travel and accommodations; coordinate expense reporting; check requests and reimbursements.
Coordinates meetings, special projects, events, and activities and participates in committee meetings with and for others as directed.
Solicits, prepares, and distributes meeting agenda; records and distributes meeting minutes.
Prepares correspondence and reports for self and others as directed.
Maintains office supply inventory, including product mix, vendor solicitation, and vendor/product selection.
Locates and compiles data, assembles and categorizes facts and figures, formats reports, graphs, tables, and records using appropriate resources and software applications.
Participates in cross-functional projects at a departmental level.
Represents Colleges and the department as a principal contact for community members, vendors, contractors, and public.
Performs other duties as required or assigned.
Strengthen digital literacy skills through education and the application of digital technologies to effectively engage in information gathering, utilization, and data management while promoting a security culture.
Must complete all required federal, state, institutional, and department trainings.
Engages in a planned program of professional development. Continually maintains skills and knowledge relative to the position and technology industry, including best practices, evolving operational requirements, and industry trends.
Demonstrate an awareness of and sensitivity to unique social, cultural, and economic circumstances.

This is a full-time, 12-month, benefits-eligible position. This position description is not all-inclusive, as other tasks or responsibilities may be assigned. Work hours are 8:30 a.m. to 5:00 p.m. during the academic year, with a possible shortened workweek during the scheduled summer hours time period.
Associate’s degree in accounting or business and/or equivalent work experience.
Experience with Microsoft Word, Excel, Access, PowerPoint, and Visio productivity software; trainable in other computing skills and software.
Familiarity with ERP and electronic purchasing, requisition, and related financial systems.
Effectively work with others; courteous, dependable, and tactful with a positive attitude and personality when dealing with clients, families, staff, and the public.
Strong analytical skills; organized, detail-oriented; readily comprehends, learns, and masters new technologies and skills.
Familiarity with accounting concepts, budget estimates, and budgetary projections.
Effectively and gracefully manage resources, tasks, and deadlines; set and manage priorities, and make decisions.
Readily adjust to change and willing to accept additional responsibilities.
Able to operate independently without close supervision as well as work collaboratively with members of a team.
