The University of Illinois, ACCC seeks a Project Manager, PMO. This position manage the definition, design, and implementation of medium to large scale projects; manage all aspects of project life cycle to facilitate delivery of key business processes. Ensures activities are carried out in accordance with established specifications, schedules, and budgets. Coordinates the interdepartmental functions in order to minimize delays. Meets with project team members on a regular basis to review project status and plan future actions.
Manage day to day operational aspects of project and scope which includes: development of work plans, requirements gathering using natural language, creation of schedules, calculation of project estimates, determine resource plans, and present status reports; ensure adherence to project quality standards by reviewing project deliverables; facilitate project team meetings, webinars, conference calls, and provide technical and guidance.
Manage the definition, design, and implementation of projects for improved services and products. Collaborate with business partners, technology staff and vendors to define project scope, desired results and deliverables.
Gather, analyze, and interpret work processes, financial reports, and other documents. Identify the business and technical flow of systems, processes and dependencies to maintain effective project outcomes.
Create and update project documents according to standards; preserve and maintain key project information for future use, such as initial charter, post-implementation summary. Compile required Request for Proposal (RFP) in compliance with procurement processes.
Provide cost benefit analysis on assigned business processes; provide input into the business case, including process improvement recommendations on quality, delivery, and cost.
Plan projects; identify resource needs, funding required and priority. Manage all aspects of Program/Project life cycle to facilitate delivery. Develop, drive and maintain a detailed master project schedule including schedules, project milestones, metrics, cost estimates, work plans, resources, communication plans, issue resolution plans, and status reports. Identity project risks/gaps and create risk mitigation plan. Assign individual responsibilities, and manage tasks to meet dates.
Oversee deliverables assigned to colleagues, vendors, finance, facilities and others, to ensure timely completion of auxiliary services such as wiring, testing, and equipment deliveries.
Manage day-to-day operational and budget aspects of project and scope; resolve or escalate issues and manage expanded project goals. Forecast and compare project costs under different scenarios; manage expenditures throughout project to meet budgetary controls.
Execute project work plans and revise as appropriate to meet changing needs and requirements.
Meet with project team members to review project status, keep team informed of changes, and plan future actions. Manage and facilitate team and user meetings, conferences, webinars and telephone calls. Prepare meeting notes; ensure project documents are complete and current. Communicate relevant project information to management.
Conduct project management training and mentoring. Coach and train project team members on project management processes and best practices.
Manage day to day operational aspects of project and scope which includes: development of work plans, requirements gathering using natural language, creation of schedules, calculation of project estimates, determine resource plans, and present status reports; ensure adherence to project quality standards by reviewing project deliverables; facilitate project team meetings, webinars, conference calls, and provide technical and analytical guidance to project team, coordinate with the appropriate technical lead(s); recommend and take action to direct the analysis and solutions to problems; communicate progress with project stakeholders, program leads and management at key review points. Produce project artifacts and business process models as needed for assigned projects.
Execute project work plans and revise as appropriate to meet changing needs and requirements. Manage and motivate cross functional and vendor teams to deliver project within defined scope, scheduled timeline, and approved budget. Including coordinating, facilitating, and leading meetings to accomplish project deliverables. Collaborate with all Technology teams, business partners, and vendors to plan, organize, secure, and manage resources for assigned project efforts following software development lifecycle and project implementation policies and procedures as applicable.
Collect and perform analysis of project performance including performance against budget, scope, project objectives and customer satisfaction. Analyze results and provide summary level executive reports; design custom reports focusing on specific organizational requirements; provide ongoing trending analyses on project performance and scheduling and on resource capacity management; respond to requests for information from ACCC Leadership Team during and outside of normal business hours as required.
Conduct project management training and mentoring. Coach and train project team members on project management processes, software (Clarity and MS-Project) and best practices.
Provide ongoing training and coaching on project management. Facilitate the usage of project and portfolio management software across the organization
Serve as lead subject matter expert to other technology staff. Perform detailed analysis to build project timeline estimates and budget estimates that will be used as a baseline for tracking project performance. Critically evaluate information gathered from multiple sources, reconcile conflicts, decompose high-level information into details, abstract up from low-level information to a general understanding, and distinguish user requests from the underlying true needs.
Perform other related duties and participate in special projects as assigned.
Bachelor's degree in Business Administration, Information Management or related field is required. PMP certification is preferred.
A minimum of three years project management or training experience. Skilled in MS Office Suite- spreadsheets, Word, PowerPoint and Microsoft Project.
Detail-oriented business analysis skills, problem solving, and organizational skills; Strong verbal and written communication skills.
Demonstrated ability to manage large, complex IT projects in a matrix organizational structure through formal and informal relationships throughout the organization.
Demonstrated detail oriented business analysis skills, organizational skills, prioritize effectively, think independently and problem solve with minimal guidance to meet deadlines ensuring all projects are completed in an effective and timely manner.
Specialized knowledge of IT Project Management tools and processes to track the progress of projects throughout the lifecycle and take corrective action to ensure projects complete on time, within budget, and within scope.
Experience with CA Clarity project management tool and Business Objects XI preferred.
Excellent communication skills to work across multiple stakeholder groups using written and verbal, and formal presentation methods appropriate to the audience being addressed.
