Information Technology and Security has an opening for an Asset Management Inventory Specialist. Under the direction of the IT User Services Manager the Asset Management Inventory Specialist is responsible for the daily and long-term management of software and technology-related hardware within the organization. This includes planning, monitoring, and recording software license and/or hardware assets to ensure compliance with vendor contracts. The individual will assist in forming procurement strategies to optimize technology spend across the organization. The IT Resource Specialist will also develop and implement procedures for tracking company assets to oversee quality control throughout their lifecycles.
Responsibilities • Develop and maintain processes for managing and tracking the full IT asset, license, and maintenance life cycle from procurement to retirement. • Define, maintain, and update policies and procedures for effective asset life cycle management (acquisition, deployment, utilization, de-installation, reallocation and disposal) of IT assets. • Track and maintain an accurate inventory of all assets throughout their life cycle. Assets include but not limited to: PCs, servers, network equipment, printers, copiers, cell phones, software licenses, warranties, maintenance records, and all costs associated with asset and maintenance and support. • Ensure appropriate vendor warranty/maintenance agreements are maintained throughout the life of all assets. Track costs, budget planning, and renewal dates to ensure no lapses in coverage occur. • Reconcile, audit and validate software licenses against installed asset base. • Evaluate and implement Asset Management tools and recommend those that best meet the organization's budget, resources, timescale and technical requirements. • Plan the population of the asset database, manage the asset database, central libraries and tools, and ensure regular housekeeping of the asset database. • Work closely with IT leadership as part of the asset management process including budget allocation. • Works within IT to ensure policy compliance and asset maintenance. • Research industry best practices and compares against organization's practices in order to establish benchmarks for managing IT assets. • Identify opportunities to optimize unused or partially used IT assets to achieve full efficiency and ROI from assets. • Establish process interfaces that support budgeting process, RFI/RFPs, fixed asset requests, compliance to standards, input from projects, etc. • Work closely with IT partners to support audit processes. • Define metrics, gather data, and report effectiveness of IT asset management processes. Produce IT asset and vendor metrics to IT management as required and identify trends and takes proactive steps to correct as needed. • Identify and act on cost reduction opportunities. • Define and maintain an Asset Disposal Program. • Monitor and measure IT Asset Management and IT Vendor Management activities in attainment of established Service Level Agreements. • Provide day-to-day management of university service contracts covering cell phones, printers, and copiers.
Requirements • Bachelor's degree in Computer Science preferred, or an equivalent combination of experience, education, and training • Minimum of 3 years' experience managing IT assets in an enterprise environment. • Certifications preferred: CAMP ( Certified Asset Management Professional) • On-call and occasional weekend work required. Competencies: • Understanding of what ITAM is, the benefits it brings to an organization and how it crosses all functional business areas. • Strong business acumen, including strong analytical skills and ability to negotiate and influence Independent, self-motivated and results-oriented, is including ability to prioritize several conflicting demands to achieve optimum service performance while maintaining a sense of urgency • Possess an understanding of various software licensing models and software contract terms • Possess an understanding of the various types of current IT Hardware technologies (network switches, routers, firewalls, appliances, servers, storage arrays, desktop/notebooks and various types of IT components and peripherals) • Proficiency with office productivity software (MS Office Suite, including Excel to review large data sets) and SharePoint Preferences Familiar with and experienced in the taking of Enterprise inventories, including techniques such as scanning, ongoing electronic inventory tracking. • Familiarity with ITAM software including Samanage.
