EDUCAUSE (http://www.educause.edu), a highly creative, entrepreneurial, national nonprofit association whose mission is to advance higher education through the use of information technology, invites applications for the position of IT Asset and Vendor Relations Manager to support the IT Department. This is a full-time position working in the Louisville, CO office; pay rate commensurate with experience.
In this position, you are responsible for assisting the IT department in performing a variety of key support functions and tasks such as overseeing and tracking the IT asset inventory, all IT contracts and licenses, all certificates, system refresh cycles, IT budgets, and department scheduling. All IT purchases would flow through and be executed by you and you would also reconcile expenses, and coordinate the development and update of IT’s policies, SOPs, and work-flow processes.
Duties and Responsibilities:
IT Asset Management
Ensure the inventory and tracking records for IT assets to include hardware, software and services, are up to date, accurate, and comprehensive.
Work to ensure that appropriate service and support contracts are current and aligned with IT planning, budgeting, and association needs.
Assist the CIO and IT Managers to plan, prepare, and manage the IT budget, including developing projections for future budget needs based on contractual obligations and inflationary increases.
IT Vendor Relations
Build, run, and continually improve a comprehensive IT vendor database.
Research optimal vendor solutions and pricing, including but not limited to analyzing product and vendor evaluations and benchmarks.
Take the lead role in developing RFPs for IT hardware, software, and services. Lead the RFP process to ensure compliance with RFP requirements, and prepare spreadsheets and analysis of responses for review by IT management; serve as point of contact for vendors responding to RFPs.
IT Department Coordination
Coordinate scheduling for IT support for EDUCAUSE conferences ensuring adequate support and coverage in Louisville as well as the conference sites.
Coordinate the development and updating of the IT service catalogue, IT SLA’s, IT SOPs, and IT policies and documentation.
Assist IT Project Managers as needed with developing and tracking projects, and align with vendor and contractor involvement.
Maintain records ensuring smooth on-boarding of new employees by facilitating the set up and delivery of new equipment as well as the accesses to software systems and tools.
Ensure compliance with procurement rules for software/hardware product purchases.
Carefully keep records and tracks certificates so that we remain current and in compliance.

Limited travel required to support EDUCAUSE conferences/events, team operations, and external events relevant to the position.
Education and Experience
A degree or training in Computer Science, Information Systems, Business or a related field required; B.S. degree preferred.
At least two years of experience working in an IT organization in an association, higher education, or other non-profit or for-profit business of 50 employees or greater.
Knowledge, Skills, and Abilities
Working knowledge of the full array of IT technical solutions including but not limited to hardware platforms, software solutions, productivity tools, cloud offerings, and outsourcing strategies such as SaaS, and IaaS.
Experience with interacting with and working with a diverse group of internal IT, internal non-IT, and external staff.
Good communication and presentation skills, including the ability to write procedures, policies, and user documentation.
Demonstrated skills in Microsoft Office products, Google Documents, and other office productivity tools.
Ability to understand and analyze IT projects, documents, financial models and projections.
Proficiency in complex financial spreadsheets, developing RFPs, as well as gleaning key information from RFP responses and vendor documentation.
Enthusiasm for learning about new technologies and IT solutions to better serve the organization.
